Business Support Unit (BSU)

EXECUTIVE, FINANCE & ADMINISTRATION (AR)

Job description: 

  • Generating students’ billings, invoices and credit notes when required.
  • Review billings to ensure completeness and accuracy.
  • Attend to customers’ enquiries on students’ accounts and outstanding balances.
  • Preparation of journal entries, detailed reports and account reconciliations on a timely manner and to ensure accuracy and completeness of data.
  • Maintain and update students’ deposits list.
  • Prepare, analyse and report weekly student debtors ageing.
  • Oversee AR team in daily collections and following up of debts.
  • Ensure all manual billings / credit notes are properly accounted for and recorded.

  • Take on the team leader role in AR and provide guidance to AR team to develop the team’s strength in all AR functions, existing and new.

EXECUTIVE, FINANCE & ADMINISTRATION (AP)

Job description:

  • Finance & Bursary
    • Review, monitor and manage daily cash flow for the company
      To ensure month-end and year-end closing are accurate, complete and timely.
    • Preparation of journal entries, detailed reports and account reconciliations on a timely manner and to ensure accuracy and completeness of data.
    • To analyze and correct any discrepancies/variances during preparation of monthly financial statements, balance sheet account reconciliations and supporting schedules.
    • Provide guidance to and develop staff, provide on-the-job training to staff and motivate staff.
    • Coordinate, review and monitor day to day activities within the accounting & admin functions in all aspects of business.

MANAGER, FINANCE & ADMINISTRATION

Job description: 

  • Managing and monitoring of the budget, preparation of management reports, financial performance, cash flow, company tax computation and compliance.
  • Liaising with banks, lawyers, auditors and other third parties.
  • To ensure the treasury functions of the company is monitored in terms of fund placements for long and short term.
  • Review and monitor the financial results of the school on monthly/quarterly/yearly basis.
  • Be on an advisory role to the CEO and Principal, as the case may be on financial matters and finance policies and procedures.
  • To ensure compliance and consistency in work processes and procedures, with the rest of the education group.
  • To provide staff support for academic activities and corporate.
  • To identify the most appropriate training programmes for the department that will ensure continued enhancement of staff capabilities and strengths.
  • To monitor and ensure Company’s expenditures are within budget allocated.
  • To ensure reporting accuracy, data integrity and be analytical.

PURCHASING MANAGER

Job description:

  • Responsible for negotiating, selecting, and managing suppliers to achieve competitive cost, quality, reliability, and timely delivery.
  • Develop, negotiate, and administer purchasing agreements or contracts.
  • Developing and implementing purchasing strategies.
  • Identify and mitigate contract risk/disputes as well as coordinate appropriate reviews.
  • Maintaining the supplier database, purchase records, and related documentation.
  • Verifying specifications and price comparison, obtaining recommendations from suppliers for substitute items and obtaining approval for the requisitions before preparing purchase order.
  • Provides purchasing planning and control information by collecting, analysing, and summarizing data and trends.
  • Working to improve purchasing systems and processes.
  • Collaborate with all other Head of Departments (HOD) to carry out cost optimization to meet the yearly budget.

EXECUTIVE, FACILITIES, MAINTENANCE & SAFETY

Job description:

  • Responsible for building maintenance of all building.
  • Undertake minor building repair works, i.e., plumbing, electrical etc.
  • Liaise with suppliers / contractors for rectification and repair work.
  • To arrange duties for maintenance staff.
  • Maintain proper stocks (electrical, plumbing & etc) submit monthly stock reports.Prepare duty rosters for staff.
  • To take monthly water and electrical meter reading for all cafeterias.
  • To get quotation for repairs works.
  • To setup PA system.
  • To do preventive maintenance for the equipment and keep record.
  • To do daily walkabout to check on the cleanliness, safety hazard, facilities condition and other defects. 
  • To monitor contractors and to make sure the works are carried out as per the approved quotation.
  • Conduct regular inspections to ensure compliance with health & safety standards.
  • Liaison/work with other departments in solving the service request in facility maintenance.
  • Coordinating and overseeing external contractors, suppliers, and vendors, keeping track, and controlling repair deadlines.
  • Prepare Bill of Quantities for minor works.

Requirements:

ADMISSION OFFICER

Job description:

  • Provide high level customer service via email, telephone, and face to face communications with prospective parents, agents, students and feeder schools
  • Ensure prospective students and parents are guided and encouraged through the admissions process in a professional, helpful and efficient way.
  • Increasing conversion rates to meet enrolment targets.
  • Schedule and organise visits of prospective parents and students.
  • Liaise with members of academic staff to organise meetings with prospective parents as required
  • Assist the Marketing Department in planning, organising and delivering successful admissions events including open days, previews, taster days, fairs and exhibitions

Requirements:

MARKETING OFFICER

Job description:

  • Responsible to implement the Sales & Marketing function including planning and managing the overall marketing, sales, communication, branding and promotion activities. This includes building awareness of the Sri KDU brand with the aim of generating enrolments through the development of effective sales & marketing strategies.
  • Assist the management in the design and development of annual sales & marketing plans, leveraging on market knowledge, business research and indicators.
  • Work with the marketing team to implement Sri KDU best practices and SOPs.
  • Attend to customer enquiries (walk-ins, email, digital enquiries)
  • Participate in Education Fairs.
  • Manage digital marketing and social media.
  • Support and facilitate the implementation of the sales & marketing plan.
  • Monitoring the effectiveness of the sales & marketing plan
  • Work with media agencies and other vendors to carry out advertising and promotions.
  • Work with school leadership team on the development of new marketing campaigns or sales activities based on market research data.

MARKETING COMMUNICATION

Job description:

  • Build and execute social media marketing strategy through competitive and audience research, platform determination, benchmarking and messaging.
  • Create visual contents that builds meaningful connections and tells a story to the targeted audience to elicit understanding and therefore encouraging calls to action.
  • Updating the School’s Social Media Accounts.
  • Liaison with the School’s advertising agency, designers and printers (in-house and external).
  • Liaison with academic and administrative staff to request and collate information for in-house publications.
  • Supporting the Marketing department in booking, designing and tracking advertising for the Schools as required.

Multimedia & Creative Designer

Job description:

The incumbent’s integral role would be to support the Head of Marketing with the creation of visuals (traditional and digital platforms) for Internal and External marketing campaigns execution. He/she is expected to be able to contribute visual ideas to support short and long term growth strategies to raise the Sri KDU brand to improve our recruitment efforts leading to improved enrollment numbers and revenue. This person will also be responsible for creating content on our social media handles e.g. FB, Twitter, Instagram, LinkedIn and YouTube to build brand loyalty via a structured Social Media strategy to boost our online presence. This person should be able to work independently.
 
The minimum expectations for this role would be that he/she has experience working with a wide range of media including videography, photography, GIFs, motion graphics, digital designs, and social media platforms. He/she must keep abreast with trends, emerging technologies and software development particularly design programmes. He/she will also be expected to use innovation to redefine requirements within stipulated constraints.
 
Summary of Job Responsibilities:

  • Teach students according to their educational needs, including the setting and marking of work to be carried out by the student in the school and elsewhere.  Giving written and oral feedback on pupils' work promptly, thoroughly, carefully and in a positive way and to keep such records as are required.
  • Provide, or contribute to, oral and written assessments, reports and references relating to individual students and groups of students.

Requirements:

  • Possess a Bachelor's Degree in Education or major in Sport & Recreation Management and/or English Language related field. 
  • At least 3 years of relevant teaching experience at the National Secondary School level
  • Excellent subject knowledge. 
  • Excellent management and organizational skills
  • Good interpersonal and communication skills
  • Able to work independently
  • IT literate
